1. Who We Are

QuoteFlow is operated by Eyedea Digital Solutions, Harare, Zimbabwe. This Privacy Policy explains what data we collect, how we use it, and your rights regarding your data.

2. What Data We Collect

When you use QuoteFlow we collect:

• Account data — your name, email address, company name, and password (stored encrypted)
• Business data — quotes, clients, contracts, invoices, and projects you create
• Payment data — Paynow transaction references and amounts (we do not store card numbers or EcoCash PINs)
• Usage data — pages visited, features used, and activity logs for your workspace
• Uploaded files — company logos and contract signatures you upload

3. How We Use Your Data

We use your data solely to provide the QuoteFlow service:

• To operate your workspace and deliver the features you pay for
• To process subscription payments via Paynow
• To send transactional emails (quote notifications, invoice reminders, billing receipts)
• To provide customer support when you contact us
• To improve the platform based on usage patterns (anonymised)

We do not sell your data, share it with advertisers, or use it for any purpose beyond providing QuoteFlow.

4. Your Clients' Data

When you add clients to QuoteFlow, their contact information is stored securely in your workspace. This data is yours — we process it only on your behalf to deliver the service. Your clients' data is never shared with other QuoteFlow users or third parties.

5. Data Storage & Security

Your data is stored on secure servers provided by:

• Supabase (PostgreSQL database — EU West region)
• Render (application hosting)

All data is encrypted in transit (HTTPS/TLS). Passwords are hashed using industry-standard algorithms. We apply access controls so only you can access your workspace data.

6. Data Retention

We retain your data for as long as your account is active. If you permanently delete your account, all your data is deleted from our systems within 30 days. Billing records may be retained for up to 7 years as required by Zimbabwean financial regulations.

7. Third-Party Services

QuoteFlow uses the following third-party services to operate:

• Paynow — payment processing (Zimbabwe). Subject to Paynow's own privacy policy.
• Supabase — database and file storage
• Render — application hosting
• Gmail / SMTP — transactional email delivery

We only share the minimum data necessary with each provider to deliver the service.

8. Cookies

QuoteFlow uses only essential session cookies to keep you logged in. We do not use tracking cookies, advertising cookies, or third-party analytics cookies.

9. Your Rights

You have the right to:

• Access all data stored about you and your workspace
• Export your data (quotes, clients, invoices) at any time
• Correct inaccurate data via your account settings
• Delete your account and all associated data
• Object to any processing of your data beyond service delivery

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you by email at least 14 days before material changes take effect.
